Privacy Policy

eTecKnowledgey is an educational platform operating from South Africa. This Privacy Policy explains how we collect, use, store, share and protect your personal information in line with the Protection of Personal Information Act, 2013 (POPIA) and, where relevant, the GDPR.

1. Who we are

eTecKnowledgey is the data controller responsible for your personal information. For any privacy request, contact our Information Officer via the in-app Security & Privacy centre or the support channels published on the platform.

2. Information we collect

  • Account information: name, email, phone number, role (student, parent, teacher, administrator), grade and school details.
  • Profile and learning data: subjects, progress, assessment results, goals, study plans, wellbeing check-ins and engagement data.
  • Communications: messages between users (students, parents, teachers, staff) and AI coaching conversations.
  • Technical data: device, browser, approximate location and usage logs used for security and improvement.
  • Sensitive information (only when you provide it): referral and wellbeing disclosures, handled with heightened protection and limited to authorised safeguarding staff.

3. How we use your information

  • To provide and personalise educational services, AI coaching and analytics.
  • To safeguard learners and support referrals to appropriate professionals.
  • To communicate with you about your account, assessments and platform updates.
  • To comply with legal obligations and protect against fraud or abuse.
  • To improve and develop new features, using de-identified data where possible.

4. Lawful basis

We process personal information on the basis of consent, contract (providing the service), legal obligation and legitimate interests consistent with POPIA.

5. Data sharing

We do not sell your personal information. We share information only:

  • With authorised educators and parents linked to a learner, for educational purposes.
  • With professional services (e.g. counsellors, the Department of Social Development) where a safeguarding referral requires it.
  • With trusted service providers who process data on our behalf under written agreements.
  • Where required by law.

6. Data retention

We keep personal information only for as long as needed to provide the service and meet legal obligations, then delete or anonymise it. Default retention is 12 months of inactivity unless a longer period is required by law.

7. Your rights

You have the right to access, correct, delete, restrict or object to the processing of your personal information, and to withdraw consent. Use the in-app Data Export, Data Deletion and Consent Manager tools, or contact us.

8. Security

We use encryption, access controls, audit logging and role-based permissions to protect your information. Safeguarding and referral data is restricted to authorised staff only.

9. Children

Learners under 18 require parental or guardian consent, collected during registration. Wellbeing and safeguarding features follow Department of Social Development guidance.

10. Changes

We may update this policy. Material changes will be notified in-app. Continued use after a change constitutes acceptance.
